If you haven’t then you’re probably wondering what, if any, are the benefits to working with corporate event planning companies. Well there are numerous benefits to working with corporate event planners. However, like all industries, you have to know who to work with or even better, where to go to find out who you should be working with. In this post were going to provide you with a little insight as to what benefits an event planning company can provide as well as how to make sure you’re working with the right corporate event planning company.

Obviously the main reason why you would select an event planning company is so that your meeting or event is executed successfully by professionals. And in turn they make you look good to your delegates. A corporate event planning company knows how to negotiate on your behalf. As we’ve talked about here many times before, using an event planning company does not necessarily mean that you’re going to be paying a lot more to execute your meeting or event. Professional corporate event planning companies know their markets (at least they should know their markets) which means that they will know where they can get you, the client, the best savings towards your meeting. By disclosing your budget, and also your service expectations, these companies know how much room they have to negotiate. They also know where to go to find the best of what’s available for you. The time savings alone should be attractive enough to make you want to work with corporate event planning companies. Plus, once you’ve established a relationship with an event planner, it makes it easier to execute future meetings as they know your style and expectations already.

Selecting Corporate Event Planning Companies

There is no shortage of corporate event planning companies. But that doesn’t necessarily mean that they all are good. Or, more specifically, that they are the right company for your needs. So where do you turn to look for the right event planning company to work with? Referrals from industry colleagues or people whose opinions you value would be the first place to start. Also talk to the Convention and Visitors Bureau (CVB) in the region where you’re hosting your meeting or event. CVB’s are well-versed in event planning and have no problem presenting a list of members for you to contact. Usually if an event planning company is a member of the CVB it’s an indication that they take their business seriously. In other words they’re not just hanging a shingle out and doing event planning from their bedroom. Personally I also look for what associations the event planning company is a member of. This also speaks to their professionalism as memberships are investments that event planning companies make in the industry. It means they are a serious player. But, I would also strongly recommend that you get a list of referrals that you can contact. Bear in mind that any contacts or referrals that the company provides you with are usually from satisfied customers. Not that that’s a bad thing it’s just that you should be aware of that before you contact them.

Corporate event planning companies can help you organize and execute successful meetings and events. Once you’ve decided that you want to, or need to, work with an event planning company the task is now to find the right one for you. As an event planning company is a reflection on how you execute the meeting it’s important that you establish a working relationship with one that you’re comfortable with. Getting referrals and looking at what associations they are members of are great ways of determining which corporate event planning companies are right for you.
