Does Your Conference Planning Guide Include Timing for Your Event (Comedy)?

A conference planning guide typically includes a checklist of items that need to be completed to make the conference run smoothly. But does your conference planning guide also include timing? Meaning how much time have you allotted for all of the components to the conference.

Now, of course, the conference planning guide most often does include timing. This is a bit of a tongue-in-cheek question as the video below comically highlights. But, comedy aside, the message is that timing is a crucial part of your conference planning.

We have featured Hyatt videos here in the past. Hyatt has done a great job in their web-based marketing by presenting conference planning topics with a humorous twist to get their point across. While they are obviously intended to be lighthearted, the take away message is that bad meetings do happen. However, it’s how a conference planner reacts to these anticipated problems as to whether or not you’re in good hands with your conference planning. We tend to think that you just might be in good hands with Hyatt.

Conference Event Planning Remix

Hyatt provides us with a whole new meaning to a conference chair. Conference event planning requires people to focus on the tasks at hand. Sometimes a definition of a conference can simply mean a group of people meeting in one room conferencing with a group of people in another location. Which makes the conference event planning that much harder. When you’re not in the same room with all of the attendees, attention spans can be a concern.

Taking a lighthearted look at conference event planning, Hyattmeetings.com has put out another comical video to help grab our attention. You really have to give credit for Hyatt’s online marketing program. By using humor, Hyatt’s hopes are that we will remember their advertising more than we will the ones that are simply telling us about a particular conference planning event. I’m betting they’re right on this one.

In the video below Hyatt creatively sets this conference to remix music. Tell me you haven’t been in a meeting where all of a sudden you wish someone would just break out into song or something stupid to help break the monotony.

Company Meetings – LOL

It makes no difference if you’re planning company meetings for five people, five hundred or five thousand. Regardless of the size there is so much you have to be certain to include. Whether planning a sales meeting, team building seminar, business meeting, department meeting, training session or the like, time is always of the essence.

A great deal of time and energy goes into the planning, coordinating and delivery of company meetings. Budgets to settle, venue and rooms to book, meeting timelines and agendas to create, meeting provisions to confirm, snacks and food to choose and approve, and the list continues. The actual company meeting files can and will grow with all the details.

Food is important to meeting attendees. Making the correct or incorrect food choices can literally make or break company meetings. With so many things to remember and include, something is bound to go wrong or fall through the cracks. We thank Hyatt, once again, as they show us what can happen in these situations. But of course NOT when booking company meetings at the Hyatt.

Meeting Planner – Tee Hee!

Whenever the term “meeting planner” comes up in a conversation with non-industry folks, I am always asked the same question over and over again… what does a meeting planner actually do? As anyone in our industry is aware, a meeting planner does “everything”!

A meeting planner plans, coordinates, tweaks and delivers all the significant (as well as the minutiae) parts and details required to ensure a successful meeting, conference and/or event. The meeting planner ensures each and every item that requires attention gets it and in the end every “i” is dotted and every “t” is crossed.

Over the years I have learned that a meeting planner makes sure all the particulars that go unseen and are never given a second thought by the attendees, gets done in the best possible way.

In this video from Hyatt, they prove why working with a meeting planner (and the Hyatt) is important and that no detail will be missed to ensure a most successful meeting.
