Event Planning and the Convention Center

Convention centers are a big part of the meetings and events industry. Pretty much every city has one. A convention center is primarily utilized by, but not limited to, associations and trade shows. The centers usually consist of one or more large open spaces with several smaller or “breakout rooms”.

The groups that will utilize a convention center tend to be larger in size. That’s where the smaller rooms, or breakout rooms are attractive to the event planners. You see, quite often with larger groups the event planner is tasked with providing smaller meeting rooms as well as a meal function. And if the facility does not have a variety of rooms to accommodate that, then the room turnover (switching a room from a meeting set up to a food and beverage function for example) would chew up valuable meeting time. And the smaller break out rooms are ideal as quite often there are many meetings for the group occurring simultaneously.

The Convention Center is about Location, Location, Location

A convention center is, most often, a standalone complex. They are also in close proximity to the city’s major hotels. So close that, in some cases, they are attached by underground tunnels or overhead walkways. Today, most convention centers are designed to be a focal point for the city that they are in. Not only visibly appealing, convention centers are also designed to handle large volumes.

Today’s convention centers, while attracting large conferences, are also structured to accommodate smaller groups without them feeling lost in a large sea. That’s where the architecture and design features come into play.  Event planners have often expressed concerns about using a convention center for a small group. Their concerns are that the attention that their group will be given will be overshadowed by any larger conferences occurring at the same time. Most of the newer convention centers, or ones that have been upgraded in the last decade or so, have addressed concerns that the smaller groups have expressed.

Event planning for large conferences usually involves coordinating shuttle transportation. Basically a planner has to coordinate moving the conference delegates from their hotels to the convention center. And, because of the group’s size, it’s quite common that they’ll be occupying more than one hotel. Convention centers are designed to accommodate multiple buses, arriving and departing, that are required to shuttle large groups.

Event Planning Tip – you can save a bundle off of your transportation budget by not providing shuttle transportation to any of the hotels that are in the immediate area of the convention center (say a two or three block radius).

A Convention Center is up to Date on Technology, Sustainability and Service Providers

Typical departments in a convention center include; technology (i.e. AV suppliers), security, guest services, housekeeping, catering and food and beverage, sales, convention and exhibitor services, and sustainability.

For many of the larger conferences, or trade shows, it’s vital that the service providers are able to accommodate their needs. Most convention centers will house the major suppliers in-house so that there is always an on-site person to deal with any needs that arise.

Green meetings are also becoming quite commonplace. Today a lot of event planning involves sustainability. In other words, meeting and event planners are becoming more and more aware of what can be done to improve their meeting’s sustainability requirements. And many convention centers are now receiving LEED (Leadership in Energy and Environmental Design) certification. Sales and conference services departments are equipped to help meetings go green with easy to implement sustainable solutions.

Convention Centers and CVB’s (Convention and Visitors Bureaus) Go Hand-In-Hand

Most convention centers are associated with the cities’ CVB. Many are as busy as major airports, having a few million delegates a year move through them. When the city’s tourism arm (the CVB) goes out on sales missions, they are quite often accompanied with convention center sales staff. This is usually a win-win for meeting planners. This relationship gives the convention center additional marketing capabilities as they are quite often in a position to provide incentives to lure highly sought-after groups to their cities. Additionally, many will have in-house marketing assistance that they can offer as a value added service.

At industry networking events you may have heard the term tier 1 or tier 2 convention cities. And unless you’re responsible for the event planning of a large group you probably don’t have a clear understanding of what those terms mean. Some groups are so big that their selection of cities is limited by the size of the convention centers. That’s why the industry has categorized convention centers in this manner. A tier 1 convention center has meeting space greater than 250,000 ft.² . A tier 2 convention center will have meeting space between 100,000 to 250,000 ft.². A tier 3 convention center has meeting space under 100,000 ft.².

For an Event Planner One-Stop Shopping Is Attractive

Of course event planners want their conferences to go off without a hitch. Event planning is like a director’s job. There are many components that need to be successfully executed in order for the one main conference to be a success. And that can be a logistical nightmare at times. So when an event planner has an opportunity to put their conference under one roof (except for the hotel portion of the planning) that can be a huge bonus. Especially given the fact that the centers have crucial suppliers (i.e. AV, caterer) housed in-house.

Convention centers also happen to be located in the best areas of their cities. This is an ideal situation for a meeting and event planner. If there are any down times, their delegates are able to walk out the door and find a multitude of restaurants and attractions at their feet.

It is always recommended that, as an event planner, you walk the space in the convention center that you are considering. Because of convention centers sizes, a planner will want to make sure that their delegates can find the meeting rooms without hassle. Most often meeting signage will be required to help direct delegates.

If you’re considering a convention center for your conference, it’s recommended that you book space as soon as possible. Many convention centers will hold space for up to 10 years in advance. But you had better be serious about your booking because there will be a deposit schedule presented.

A convention center has become a focal point, or hub, for their city. Convention centers tend to be a showcase for the city, quite often because of their award-winning designs. They are centrally located next to most major hotels, attractions and restaurants. Event planners love convention centers as they are able to coordinate a multitude of suppliers that are housed in-house. As most convention centers are associated with the CVB, they are able to package themselves with nearby hotels and restaurants. It makes an event planners job all that much easier if they are able to house most of the conference activities in one location – the convention center.

I was at an industry networking event recently and had the pleasure of connecting with a peer, a newbie planner that had recently just started out. Like us oldies know, when starting out, there is so much to pick up and absorb and the learning curve is crazy. She has been working for a local meeting planning company and as she said “so far so good”. Speaking with her really took me back to the early days when I was just starting out, so many skills and so much information and knowledge to understand and come to know. She was definitely picking my brain and though not intentional putting my education, experience and know-how to the test. In a way it was an extremely good opportunity for me to realize what I actually do know and what I have retained from way back in the dark ages to now.

In in a Word or More – YES and NO!

One question she did pose that got the brain juices flowing was “What is the difference between a convention center and a conference center?” And while I did know the answer it made me think, did I really know the answer?

As a rule, conferences, conventions and meetings are all events that bring individuals together with a like-minded objective. When convention planning, each and every planner I know spends a great deal of time and energy figuring out where to hold their convention, conference or meeting. We consider the ins and outs, first or second tier city, event size, logistical needs and so much more as well as location, location, location. Whenever event and meeting planning you want to select the just right location, the complete package, the venue that will set the tone and accommodate all your needs, wants and must haves.

The decision whether to go with a convention center or a conference center depends on the type of gathering and the meeting requirements involved.

It’s All about the Convention and Convention Center

In general, a convention is an assembly or collection of persons that convene with a shared interest, business or industry to engage, discuss and act.

A convention center provides the right blend of meeting and exhibition space is a metropolitan locale and is able to service large numbers. A convention center is usually located in a well situated downtown location; the airport can be found close by and the center is in the vicinity of wonderful attractions. Convention attendees can be found near and far and the majority travel to attend, therefore hotel accommodations are needed. And depending on the locale, attendees will often tack on some extra days to a convention and make it a mini vacation.

It’s All about the Conference and Conference Center

A conference is larger than a meeting and is defined as an official gathering, which usually occurs over a few days, of individuals with a common interest. And will involve interaction, conversation and a give and take of information amongst delegates.

A conference center incorporates a wide ranging collection of venues that are designed and assembled particularly for events and meetings. The venues are top notch when it comes to facility amenities including and not limited to high-tech, multimedia and technological conveniences. Conference centers can include and consist of hotels, resorts, training centers, corporate facilities, universities and more. And can host and accommodate meetings, exhibitions, roundtables, symposiums and training sessions and a whole lot more.

Finding the most suitable space to host your meeting, convention or conferences is dependent on numerous factors. Finding the best and most appropriate venue will be based on the exact meeting and space requirements.

Event Planning Ideas for Entertainment

If you’ve ever attended a conference, chances are part of it included some type of entertainment. And if you were the attendee, you probably enjoyed the lighthearted session. However, if you were the event planner, chances are that the entertainment component was the one part of the event planning that you put off until the very end. I should’ve said “if you’re like me” in that previous sentence.

Most conferences, especially the larger ones, have an entertainment component to them. You may be thinking that this is an unnecessary expense. However, you’d be surprised to find out that the entertainment component can actually be a drawing card for your event or conference. Whether it be a well-known keynote speaker, a musical band or a comedian, entertainment can be anything but an additional expense.

The Entertainment Should Match the Attendees Group Profile

As a DMC (Destination Management Company) providing entertainment ideas was, for me, just part of the event planning process. We had very good relationships with many talent agencies in the cities that we worked in. And let me tell you those relationships were golden. One of the hardest obstacles, when pitching entertainment, was convincing the event planner to match the entertainment for the group not for him or her. I guess that’s what separate the pros from the amateurs. Enough said.

One entertainment idea that I had pitched several times was a hypnotist. But one of them most common roadblocks that I would often get from an event planner would be that he or she was concerned that their attendees would be embarrassed. A valid concern. Which is why I always recommend working with talent booking agencies as they have a good understanding of the talent that they represent and should be able to match your needs. Additionally, most hypnotists will tell you that anybody under the influence of hypnosis would not do anything that they wouldn’t do when they were fully alert. Geez that makes you wonder about some people then.

Conference Entertainment Is a Crucial Part of the Event Planning Process

Entertainment can be looked upon as a crowd drawer. While many of us look at it as an extra step and an addition to the overall budget, the fact of the matter is that entertainment can actually help you achieve the numbers that you’re forecasting. But remember, it’s vital that you match the entertainment you’re offering with the group that you’re attracting. Otherwise you could have a very uncomfortable session.

So take a moment, sit back and grab a coffee, and have a chuckle as you watch these unsuspecting people entertain a group.  The power of hypnosis – it’s almost spooky, but it’s certainly funny.

Conference Room Set Up – Be Prepared to be Amazed! (Great Video)

There are so many things about my job that I love. To this day each and every time I see a totally blank space turn from bare concrete, floors and walls, to a spectacular looking General Session Room, I am truly amazed. For me, it never gets old and the results continue to surprise me every single time. Taking uniquely different space and converting it from average to exceptional especially when it comes to the general session space is definitely a talent. And yes like most things in our industry it takes a great deal of planning, resources and experience to not only get the job done but to get it done right. And let’s not forget about all the thorough and in-depth logistical preparation that is required.

It’s a given, planning and executing a successful conference (including the general session) takes an incredible amount of time, energy, hard work and of course the already mentioned resources and experience. But it is so doable. And really the general session is a key part of conference success as so many times it is first chance an attendee creates their impression of the conference. Making conference room set up and everything that involves is that important.

Three Tips for Negotiating Event Planning Contracts

Event planning contracts are what some consider to be “the necessary evil” required when finalizing details between the client and the services provider. However, all too often, the contract is something that is left until the very end and, even then, it’s dealt with such haste that many things get overlooked. I’ve worked with many companies that use a border plate template for their event planning contract. Not that there’s anything wrong with that. However, there are crucial areas that should be addressed first and foremost when entering into a contract for services.

A Good Event Planning Template Will Also Include Key Contract Items

Contracts are like marriages. You usually don’t look at all of the particulars until something goes wrong. Like a divorce for a married couple. However, that doesn’t mean that you shouldn’t be sure that you’re crossing your t’s and dotting your i’s when completing the terms of your contract. Then, hopefully, it’ll be like a good marriage and you’ll never have to look at the contract again. However, in the unfortunate event that things don’t go as planned, a good negotiated contract upfront could be the make or break difference for you.

Three Tips, or Key Items, to Consider for Your Event Planning Contract

Like your event planning template, your contract is a border plate where you can add particulars for each client. However, regardless of your boilerplate, there are key areas that you should always ensure are being properly addressed.

We turned to a couple of law firms to find out what they considered to be the more important elements of an event planning contract. For this post were going to cover three key items.

Expectations. Make sure that the goods and/or services for which you are contracting are outlined properly on your contract. For example, what are your minimum expectations from the event. You would be surprised how many contracts that I have reviewed over my career and an event could simply be stated as “an off-site dinner at XYZ venue”. While it is correct that you are contracting for an off-site dinner, you better make it pretty clear what your minimum expectations are for that event. And then make sure that that is included in your contract.

Financial. You might think that this one is a no-brainer but quite often the amount of money and when it’s due is quite vague on a contract. It is imperative that the event planner knows from its suppliers how much is due, and when, for the contracted event. Once, as a supplier, I had to rely on this clause in our contract. You see, the meeting planner that I was working with didn’t have enough funds to give me to secure an off-site event. Even though I had clearly marked the due dates for deposits in my contract, she didn’t feel that she needed to provide the funds by those dates. Well, to make a long story short, she ended up providing me with her personal credit card to secure the deposit. It wasn’t that I was trying to play hardball, rather, the venue in question had another interested party.

Integration Clause. This tip is more of a legal term. Basically an integration clause states the intentions of both the client and the service provider. While on the onset it sounds pretty simple, an integration clause can have a dramatic impact on a contract. If an integration clause exists in your event planning contract then you had better make sure that the contract covers everything about the event(s) that was discussed between the client and the supplier. If you end up using a court to settle a dispute you’ll not be able to enter as evidence anything that was not covered in the integration clause.

Like an event planning template, and event planning contract is an important part of the planning process. All too often the contract is one of the most overlooked tasks. I tend to think of contracts like marriages – if everything is going well then there is no need to go back and review the details of your agreement. But, it’s when things go sour that contracts come into light. And for that reason you had better make sure that you took the time at the beginning of your relationship to make sure all of the what-ifs were addressed.

We have all seen them at carnivals, parades and even other birthday parties. You know, it’s those guys that approach you with those long balloons and miraculously make balloon animals right in front of you. And, if you’re like me, you have even tried to make one of those balloon animals yourself. And, if you’re like me, I don’t even want to describe what it turned out to look like. Let’s just say it didn’t look like any balloon animals I’m familiar with.

A phrase that I often like to use is that “we scour the Internet so you don’t have to”. And for this post that’s exactly what I’ve done here. You see, as I mentioned above, I literally suck at making balloon animals. I really have tried. But that was before I had proper instructions. Once I looked at a couple of balloon animals and how they are assembled, it really didn’t seem that hard. And trust me, if I could follow the instructions and have my balloon animal actually look like a balloon animal, then I’m confident that anybody can do it.

Meeting Room Setup: Looking for Success and Attendee Satisfaction

Over all these years that I have been planning meetings and conferences I can honestly say I have learned a lot. I remember back in the dark ages, when I first started in this industry, I had no idea what I was doing. So much to learn and so much to know, it truly was overwhelming. Of course, some things came very fast while others were a bit tougher to grasp. And again back in the dark ages there wasn’t the helpful tools and technology that are so available now.

When planning meetings and conferences, there are so many factors and details that go into the plotting, designing, organizing and executing while keeping the ultimate goal of success front and center. Conference and meeting room setup can be a challenging undertaking. Good or bad, room setup can directly impact and influence the outcome of a meeting. We’ve all been on the receiving end of the complaints; attendees and participants that can’t see or hear what is actually going on at the front of the room or on stage. When it comes to meeting room set up the most basic objective is to ensure that all engaged do in fact have the same, positive experience.

Meeting Room Setup: Venues, Tables and Chairs, Oh MY!

The set up and arrangement of a meeting room can directly affect the value, efficiency and usefulness of the meeting space as well as the meeting itself. Prior to setting up the space it is imperative to figure out what will work in an operational and then most effective way. So before you even have that conversation with the venue ensure you are at “one with your needs and requirements”. And know what your meeting room essentials and setup necessities are. And then educate yourself, be sure to walk the space and become familiar and acquainted with the venue. And then most importantly distinguish all it’s positive and negative features to ensure the room lay out coordinates with all your AV, electrical and other needs.

Then it’s time to have that conversation with the venue. Let’s face it; the majority of venues are flexible and so easy to work with. By providing the venue with as much information as possible will help to achieve your ultimate goal. It is possible they may not be able to accommodate all your needs and wants but by providing all the information I personally have found they will do their best to find the way to make your vision happen.

Meeting Room Setup: All Kinds of Types and Styles.

Probably the most important tip I can convey in this blog is; do not use meeting space just because you have a need and the room is available. When it comes to meeting room setups there is a lot to think about and take into consideration. And really a room set up is dependent on the participants, presentation and meeting objectives. So always keep this front of mind.

Literally any type of meeting setup arrangement is possible and generally the most commonly used setups are;

Theater – Rows of chairs or seats facing the stage or front of the room (no tables).

Boardroom (or conference) – Oval or rectangle tables set up with chairs utilizing the table sides and ends.

U Shape – Tables set up in the shape of the letter U set with chairs around the outside of the U.

Classroom – Rows of tables with chairs facing the front of the room.

Chevron (or V shaped) – Tables set up in rows sloped in a V shape and divided by a center aisle.

Rounds – Round tables with chairs positioned to make the greatest use of the space.

Hollow Square – Eight or six foot tables set up in a rectangular style with a gap in the center.

Half Moon Rounds – Round tables setup with chairs around only half the table facing front.

While practically each and every meeting room setup shape is achievable and while you may think the time spent on selecting the just right setup is tedious and unexciting, it is a very important aspect of your meeting planning.
