Knock, Knock – Whose There?  Yep, it’s the best kid’s birthday party idea, EVER!

Is it that time of year again? Time to plan, your kids best ever birthday party. Are you looking for a fun filled, creative and inspired theme? With all the kidlets in my life growing up and at an age where not only do they not want my planning help they don’t even want me at the party. I was thrilled when a close friend asked if I would help plan her daughter’s upcoming sixth birthday party. And before I could even get my enthusiastic yes out, my brain was consumed with all things part.

The Most Delicious Kid’s Birthday Party Idea, EVER!

Right away, we decided on the game Candy Land as the best party theme, ever! We both loved the game growing up and for us it truly is a classic. It has so many fun and entertaining elements that help to make planning and having this party extra sweet. But as the party was not for us, thought I forgot didn’t you, we sat down with the birthday girl and got her take on the situation. And with only a wee bit of arm twisting (really just a wee bit), the birthday girl jumped right on board. So as the game says we started “Down the magical road to sweet surprises…

Kid’s Birthday Party Idea – It’s All About Candy…Land!

With party planning so much of the fun is in picking out the birthday theme and all the essentials needed, invitations, decorations, games, food and the oh so sweet goody bag. Really, I do think the adults have way more fun planning then the kids do partying! If you know Candy Land, you know it’s a land filled with sweet, amusing and scrumptiously mouth-watering fun. And it’s the perfect place and theme to create a party that is not only imaginative and likable but participatory, fun and within your budget. And when planning a kid’s birthday party affordability truly is the name of the game. And when it comes to Candy Land it’s obviously all about the candy, small and large, as well as the bright colors, lollipops, toys and much more.

Kid’s Birthday Party Idea - It’s All About the Planning!

We made the decision to create and produce as many of the party elements as we could ourselves.

Starting with the invitations and with Candy Land there are so many great and creative ideas available. From sketching out a big lollipop with all the party details on the back to using a real large lollipop with an attached card outlining all the party facts to creating a chocolate bar wrapper (or an actual chocolate bar) with the specifics as the invite. We decided to go with the always favorite bag of candy delivered with a colorful card with the party particulars.

We held the party outdoors and were fortunate enough to be gifted with good weather. We created a Candy Land game board that lead the kids to the backyard. In a word, awesome! Using the Candy Land game as our inspiration, we then decorated the backyard utilizing colorful balloons, streamers, card-stock, lollipops and real candy to create a candy filled fantasy land. And by using candy shaped and candy filled pinatas along with the other decorations we were able to craft a delicious candy land including candy gardens, lollipop woods, chunky chocolate mountains and so much more. Every single party item was fashioned to look like candy or like it belonged in Candy Land. Table legs were made to appear like candy canes and cellophane covered balloons were formed to look just like suckers.

Food was so, so easy. We tried to make all the food bite size and at the same time all the eatables were shaped to look like candy. Finger sandwiches looked like candy canes, veggies and dip looked like different candy with a chocolate dip. Pizza was well pizza but who doesn’t love some pizza. And instead of a cake we baked colorful cupcakes and had the kids decorate them. And the candy, there was lots. Candy was the centerpiece and candy necklaces were napkin holders. There wasn’t a guest that didn’t enjoy a bit of candy as well as a sugar surge. It was all good.

Kid’s Birthday Party Idea – And to Top it Off!

All the party activities were you guessed it, themed around candy. Some of the highlights were the cupcake decorating, the self-explaining goody bag designing as well as musical chairs to the tune of the Candy Man. And finally we all put together and decorated the Candy Land House. As you can imagine a bit of madness with a huge splash of fun!

And finally instead of the traditional goody bag we set up a candy bar and the kids could take their self-decorated bags and fill them up with all kinds of scrumptious candy and novelty toys. And just for the parents each kid received a toothbrush with some toothpaste. So everyone left happy!

“Goody, Goody Gumdrops”… let your mind fly and start planning your kid’s best birthday party ever. A Candy Land themed bash will take you to the world of sweet and unleash the delicious fun and let the memory making begin!

Looking for Great Meeting Planning Ideas Instead Found ….

Yesterday I was sitting with my favorite girl Friday, my computer, doing research looking for some great meeting planning ideas. I was attempting to find something new and exciting to pitch to a long standing client for her association’s opening reception. I have been working with this client for several years now and while I love, love, love some of the good old stand by scenarios I wanted to pitch something different and so unlike anything we have ever produced for her. I was trolling the internet for decor and entertainment ideas and trends that are a bit outside of the box; that are truly unique, slightly unusual and really special. So there I was typing and Goggling away and while yes I was looking for something new and fresh, what I found was something totally different and off topic.

So although I did not find the new decor and entertainment ideas that I anticipate will fit the bill, I’ll be back at it today. And really with so many great trends in our industry I don’t doubt I will be sitting pretty. But what I did find was this amazing video that really got me thinking. Have you ever pondered the question “What was I like when I was just I was younger”. What would I say to myself if I could go back and have a conversation? Would that change the person I am today? Actor and filmmaker Jeremiah McDonald answered that question for himself and at the same time provided a glimpse into his past and present for us.

In 1992 at the age of twelve he made a video of himself for the future Jeremiah. And after coming across the video recently at the age of thirty-two he combined footage of himself then and now. The result is this unbelievable, get you thinking, video that went viral with over seven million hits. Watching Jeremiah’s video really got me thinking about my past memories and what would I say to my younger self? I’m not sure if I would ask and answer any relevant or significant questions but I do think I would tell the younger me to take it easy, chill out and don’t take everything so seriously…it really does all work out.

So have a look at the video and then hit the comments section and let me know what you would tell the younger you.

Event Planning Tips on How to Prepare for a Meeting

Event Planning Tips on How to Prepare for a Meeting

Meetings are pretty much a part of every industry. And it’s probably something that you don’t look forward to. If you’re like me, I sometimes dread going to meetings. You see, many of us look at meetings as a disruption in our day. And let’s face it with event planning comes meetings. It’s one of those unavoidable tasks that we need to do in order to ensure that all of our planning will be successfully executed.

Meetings Are Big Part of the Event Planning Process

So why do we dread going to meetings? Well, for many of us, the thought of having to talk in front of a group can make us very nervous. To the point where we actually do not retain any information. Which is really a disservice to having a meeting in the first place. And, if you’re just attending the meeting and not being called upon to provide any input, well that too can create a distraction as it’s very easy to lose the thought process.

In the video below psychologist Dr. Cynthia Green has some tips for us on how to prepare for a meeting. Whether we need to overcome our jitters or we need to increase our ability to focus, these tips will prove helpful to you for your next meeting. And for those of us in the event planning business, maybe, just maybe we’ll be able to turn our meetings into a productive process of event planning.

I think we can all agree it’s great to be part of the event planning industry. Like many trade organizations, our industry has had its own issues, the good as well as the bad. What with economic ups and downs, decreasing budgets and increased wants that consistently affect event planners and event planning companies. Simply said these obstacles can and will cause complications and hurdles for those in the business of organizing and planning meetings and events. Sure those “in the know” say people will always meet to educate, learn, discuss and celebrate. Very good news but what does this mean to us?

So with a great demand for planners and bearing in mind all the various challenges that are part and parcel to planning meetings and events, it is imperative to stay on top of all the up-to-the-minute, hottest planning trends. This Week’s Top Event Planning Tweets on Technology

As you may have noticed recently we like to scour our twitter followers and bring you, what we consider to be, some of the top tweets for event planning each week. And for this week we kept our eye on event planning technology. As you may know, technology plays a crucial role today for event planners. Sometimes it feels as if we’re being inundated with new technology on a daily basis. And, for many of us, we sometimes get the feeling that there’s just too much to keep up on. But what’s import to remember is that not all technology is necessarily right for you. What you need to keep in mind, when reviewing the various technologies available, is how will it make your job easier.

Event Planning Technology Is Popular on Twitter

There’s one thing that I did find out this week. And that is that technology is a very popular subject in the event planning industry. Below are four tweets, in particular, that we would like to share with you this week.

MPI Northeastern New York is planning their Fall program and technology is the theme of their event. ABCey Events provides us with a review of technology that focuses on improving efficiency. Open Innovation reviews 10 new event planning tools ranging from apps to mobile platforms. And finally, Q Center reminds us and also explains just why face-to-face meetings are still important and how we can integrate them properly with technology.

Hopefully you have found something that you can utilize from these tweet posts. One thing that is for certain is that there will be new event planning technology and tips continuing. Your goal, hopefully, is that you’ll find the technology that will help you do your job easier.

Meeting Professionals – Are We All in the Same Boat?

outdoor dusk scene with canoes

I have always found that those outside the meetings industry really don’t get what meeting professionals do. Whether it’s the job of  a meeting planner, an event planner or an event manager, no ones seems to actually get what they do for a living. In the over twenty years I have been lucky enough to plan and organize meetings and events, I can explain it until the cows come home and still receive only  perplexed head nodding. Followed by you’re so lucky to be able to attend so many fun and exciting parties and events. And while I don’t think I’m the only one this happens to it still make me go urgh!

It’s funny I always say the job of an event planner/manager simply put, can be a true love hate relationship. I can’t count (because the number is that high) the amount of times I have asked myself “What are they thinking” or “How am I ever going to make this work” or the always favorite “Is this client out of their mind?”. But truth be told, all the many wonderful parts so outweigh the iffy ones. And it really does take a village as well as a uniquely special person to take on all the responsibilities and tasks that come along with this ever challenging position.

Meeting Professionals – It Does take a Boatload …of Effort, That Is!

When all is said and done and the conference, program, meeting or event has ended hopefully most think job well done. But as we all know the actual work and success is in the planning and details leading up to the event. Success doesn’t happen by accident. It takes time, energy and a boatload of hard work. The majority of meeting planners are responsible to organize and manage every single element it takes for the program, from site location and accommodations to venues, from speakers to service companies, from AV to signage and everything else in between. And while most times we do get it and I know my mantra is “no problem, no problem”, we definitely all work long hours and have honed our multi-tasking, communication, time management, negotiation and so many other skills needed for success.

Meeting Professionals – Yes, Really We Are All in the Same Boat!

While we are all working away in our offices and on site we view the big picture from our own perspective and lens. Thinking does this only happen to me, am I the only one going through and dealing with the various client and program issues that can pop up. So last night I was out with a bunch of my planner friends and one of the things that came up was a recent LinkedIn group discussion. The question was “What is the one thing you hate as an event manager?” And literally with hundreds and hundreds of LinkedIn responses including comments and observations about everything from negations, budgets, committees, lateness, exhibitors to clients, the weather, ethics (or lack of), unions and truly so much more. We came to the conclusion that in fact we are not alone and yes we all are in the same boat. And realistically as event and meeting professionals we all have been subjected to various situations at one time or another, and have learned to just roll with the punches. And as a community we share our experiences, the good, the bad, the ugly and that has helped to make us all stronger and better able to support one another and the industry we love.

With all that is on a planner’s plate, one thing I know for sure is that it is not only a job or career it’s a passion. And no matter where we are geographically located and through all the madness as well as the great stuff,  we are not alone and we all tackle the same issues. And as Raghav commented on LinkedIn “there’s no business like show business “!

Event Planning Template for Establishing a Venue Budget

event planning template for venue budgetsAs part of the event planning process, putting together a budget is a crucial step towards your overall program. And it’s often the part of the job where many event planners cringe. Quite often clients will ask us “can you give me a per person price?”.  And, let’s face it, we dread having to go back to our office and do our calculations so that we can present our client with their requested information.

Putting Together an Event Planning Template Isn’t As Hard As You Think

In my business, and particularly when we did more full-service groups, I would have various templates done up ahead of time. Then, I could just pull out which template I wanted to use, based on the type of event that I was pricing, and fill in my information.

In the video below I give you a quick run through as to how to put together a quick and easy template for costing a wine tour and lunch. The most important aspect that needs a little bit of thought is all of the components that you will need to organize in order to successfully execute the event.

If you would like to save this event planning template , you can click here and save the spreadsheet on your own computer.

Birthday Party Planning – Be Ready to Chuckle!

old fashioned picture of kids celebrating a birthday

There is nothing better than birthday party planning, specifically a kid’s birthday party. As I have said many a time, birthdays are special and should be treated that way.  As the saying goes half the fun is in the journey so in this case the party planning. Especially with all the fun and exciting birthday party decisions that await; who to invite, where to hold it, what party theme to go with, what to serve, what activities to have, the delicious cake, don’t forget about the amazingly cool goody bags and so much more. Really all the planning, organizing, scheming and preparing leading up to the actual party becomes part of the festivities and is definitely equally as fun. And without the right planning, any party no matter the type can take the best of intentions and right before your eyes those intentions become a complete mess.

When party planning keep in mind the actual party does not need to be extravagant. We’ve all seen those out the park; include every single thing possible, over budget soirees. But truly a successful and enjoyable birthday party is never about how much money you spend or how many bells and whistles are included. It really is all about celebrating that special person and their special day. So like when planning any celebration it makes sense to talk with the person celebrating and find out what they would like on their day. How do they want to celebrate, what theme would be fitting for the birthday person and how they see the experience happening. And then start planning … the sooner you get working on the plans the better off you will be. With no last minute details to deal with and iron out. All that will remain is enjoying that perfectly lovely day.

There really is lots and lots of great help available. Your birthday party planning doesn’t have to be scary or stressful. Be organized, use a checklist, plan ahead, ask for help and you will be on the path to having a great party and a very happy birthday for that special kid in your life. There are always lessons to learn from others, so enjoy this video from our friends at YouTube and be prepared to have a chuckle.
