I keep hearing a lot of talk about how important a meeting planners guide is. While I don’t doubt that, it does make me wonder what exactly are planners’ expectations of a meeting planners guide. There are certainly no shortage of meeting planners guides to choose from. But, we thought for this post that we would review some of, what we consider to be, the key items that a meeting planners guide should cover.

Meeting Planners Guide Can Help You Develop a Checklist

We’ve often talked about how a meeting planner has to wear many different hats. So it only stands to reason that a good meeting planners guide will help a planner breakdown the various components of a meeting into workable objectives. So let’s review some of these “hats”, as it were, that a meeting planner is required to wear from time to time.

Important Items That a Meeting Planners Guide Should Include Are:

Planning. While this may seem like an obvious item, planning is crucial especially at the early stages of organizing and executing a meeting.

Budgets. With planning, budgets almost go hand-in-hand. Budgets are crucial, especially in the planning stages as it will help ascertain which components of the meeting are necessary versus components which can be eliminated should the budget not accommodate these items. Budgets help a planner determine what they need to achieve in order for the meeting to be a success and, in some cases, a revenue producer.

Meeting Room Set up and Requirements. A meeting planner needs to know all of the various meeting room set up configurations like the back of their hands. This is probably one of the earlier items that a new meeting planner learns as it is crucial in determining the type and size of meeting required. In addition, requirements can include items such as audiovisual needs and the type of speakers , etc.

Negotiating. This is probably one hat that sets seasoned meeting planners apart from the crowd. A good negotiator knows how to arrive at their desired results without offending or burning any bridges. A good negotiator also has to know what they are prepared to give up in order to achieve their overall results.

Contract. I remember studying contracts in my law classes in school. I dreaded those classes. But, lo and behold, understanding contracts has become a vital part of the meetings and events industry. So now I have to thank those professors for giving me the ability to read and understand contracts.

Suppliers. Many planners tend to think of suppliers as additional expenses to their budget. However, talk to a season planner about how they use their local suppliers and they’ll tell you quite often they request that their suppliers develop a program that works within the budget parameters assigned. Think of suppliers as the local experts in their field.

The above items will probably be found in most good meeting planners guides. Unfortunately the meeting planners guide cannot do the task for a meeting planner, rather they are designed to provide the planner with a map of key items that need to be addressed in order to make their meetings and events successful.

Interested in Obtaining Certification to Be a Certified Meeting Planner?

Should you obtain certification to be a certified meeting planner? That’s a common question within the industry. While, at present, the meetings and events industry does not require a meeting planner to be certified, many are going down the certification path to further their career development. But it’s not cheap to become a certified meeting planner. And certification does take a considerable time commitment on your part as well. So for this post were going to look at the merits (benefits as it were) of a meeting planner certification.

Certified Meeting Planner-the Benefits of Certification

Whenever I am at a networking event often the conversation involves the benefits of certification. Let’s face it, on face value any certification shows that you have taken an interest in your profession and are continuing your development as well. I find that people new to the industry, while interested in becoming a certified meeting planner, often will learn the ropes and then determine whether or not the certification route is for them. And I encourage that. After all it does take a commitment of both time and money. The reason I encourage new meeting planners to get their feet wet first is so that they can determine whether or not they see themselves staying in the industry long term. If their aspirations involve another career then there’s nothing wrong with working in the industry without being certified.

Some of the Certification Benefits of Becoming a Certified Meeting Planner Are:

  • your potential clients will see this as a commitment to your profession and the industry
  • it demonstrates that you have the required knowledge to make informed decisions
  • it also shows that you have longevity. Something that is often quite important to potential clients
  • people within your organization will look up to you for both knowledge and direction for their own career choices

When clients are selecting a meeting planner, quite often what they are looking for is that person’s expertise and guidance to help implement and execute successful meetings or events. With certification, a certified meeting planner demonstrates that they have the required knowledge, and commitment, to provide their clients with the proper direction. Being a certified meeting planner is not a requirement for the industry. Don’t get me wrong, there are many good meeting planners out there that haven’t been certified. But, I do believe that certification brings professionalism and commitment to the meetings and events industry.

As stated previously (in this blog as well as many others), meeting planners are a busy bunch of industry professionals. So what did the year 1995 bring us? Well it was the year that Microsoft released Windows 95. For music lovers, the following musicians were popular in 1995; Smashing Pumpkins, Rage against the Machine, Van Halen, Whitney Houston, Mariah Carey, Atlantis Morissette, Madonna, Garth Brooks and Janet Jackson.

What Should Your 17th Birthday Party Ideas Include?

At first you might think that putting together a birthday party for a 17-year-old is no small task. While you do have a point there, there are a few things that you can do to put a smile on the new 17-year-old’s face.

Some 17th birthday party ideas:

A Movie Night. You could do this in a number of ways. One idea would be to look at movies from when the 17-year-old was born (of course make sure they match what the birthday boy or girl likes). And then seem the party around the movie or movies that you’ll be showing. Another option might be to take a group of friends out for a movie night. Taking the birthday crowd out to a movie will incur some costs. But you can also check with your local movie theaters to see if there are any group discounts based on the number of people and the night of the week that you are considering. Another thing that I would recommend is that the parent not attend the birthday party. There’s nothing wrong with dropping off and picking up but it’s pretty safe to say that the 17-year-old would have a better time without mom or dad around (sorry).

A Music Event. Similar to movies from 1995 you can also make a compilation of songs from the year the birthday boy or girl was born. Maybe even take it one step further and, if there is one particular band that is enjoyed, see if there is a DVD of the concert that you can play. Asking the attendees to come in theme is also not a bad addition to the music idea.

Race Car Driving. This one, while I don’t rule girls out, might be more geared towards a 17-year-old young man. For any of you that live in and around a race track, you might want to check and see if they offer race car driving. After a few rounds of training, these new race car drivers will get a chance to go around the track in the same fashion that many of the season drivers get to enjoy. And why not make a picnic out of it and bring some snacks along for the event.

Paintball or Laser Tag. I actually went to a paintball birthday party for somebody that was in their 30s a few years back. At first I thought we might be a little old for it. But, I’m happy to tell you, that the 20 people or so that were there had a great time. What group of 17-year-olds wouldn’t enjoy an evening out doing laser tag or paintball.

Planning a birthday party for 17-year-old may seem like a daunting task. But there are many ideas for a 17th birthday party that you can easily implement without blowing the budget. Whichever idea you decide, the number one rule is that the event should be something that the birthday boy or girl has an interest in.

5 Key Items for a Conference Planning Checklist

You don’t have to look very far to find a conference planning checklist. And when you Google the term, there certainly is no shortages of websites where you can get conference planning checklist ideas. So they must be important then, right? Well, of course the answer is yes (with some caution). I do have to say, that a good conference planning checklist is only as good as the thought that was put into making the checklist itself. Which started me thinking about which items would be considered crucial for a conference planning checklist.

Items That Should Be Included on Your Conference Planning Checklist

1) Location. This item should be first and foremost, obviously. After all you can’t do much planning, or rather logistics, until you know where it is the conference will be held. Most conference planners will begin to scout locations well in advance of their conference to make sure that they can pick dates, hotels and venues which would be suitable for their conference.

2) Dates. The dates of your conference are almost equally as important as the location of your conference. Of course depending on where your conference will be held, the dates may be dependent on factors such as temperature and other citywide activities occurring in the location over the dates that you are considering.

3) Budget. Before you can begin promoting, and then executing a conference, you will need to determine what your budget is for the conference itself. Sometimes a budget is set by the conference’s committee members ahead of time and then handed to the conference planner for execution. Other conferences may need to determine what their conferences itinerary will be in order to determine what the budget is. Whichever is your case, budgets are a crucial part of a conference planning checklist as it will have a direct impact on your conferences registration.

4) Registration. Of course the success of your conference will be judged by how many people attend. A good conference planning checklist will address registration at the onset. It is crucial today that you have a good registration marketing plan in place. There are many registration software services available to help conference planners in this area.

5) Program/Itinerary. A good conference planning checklist is all about planning for the various elements, or itinerary, of your conference. It should be well thought out in advance and then assigned due dates based on which items need to be decided and secured first. The itinerary is also key when it comes to the conferences budgets. It is vital for a conference planner to know how much money they have to spend on the various components to their conference.

With conference planning, the devil is in the details. Therefore a planner requires a conference planning checklist to help them break down vital components to their overall program. For anyone planning a conference, a checklist is important for a number of reasons. Of course the most obvious reason why you would use a checklist when planning a conference is to keep track of all of the small details that are required as part of your planning. After all, it is all about the details.

Which begs the question – when planning a conference what checklist items should be covered? Well of course it does depend on which type of event you’re organizing (i.e. corporate conference, an incentive trip or a wedding). But, generally speaking the graph below outlines the major checklist items that are often covered when planning a conference.
