Last year Arizona implemented a controversial law that affects how that state deals with immigration issues. The law basically makes it a misdemeanor if an individual is not able to prove that they are a US resident. The controversial component, for many, is that the individual must provide documentation when requested by authorities. A year later, we’re wondering what affect that law has had on event planning firms.

In May of 2010, HotelNewsNow.com reported that hoteliers in Arizona were feeling the impact as they claimed event planning firms were cancelling their meetings as a result of the law. In the same article, they actually name a specific group that cancelled and tagged a loss from that group of approximately $120,000. Additionally, Phoenix city officials estimate that their city will lose $90 million over the next five years.

What concerned tourism officials was the impact event planning firms could have on the tourism industry in Arizona.  And they weren’t letting much time go by without taking action.  Major initiatives were underway lobbying industry associations for their support.   Many took the form of support for the industry workers that were in jeopardy of losing their jobs if any boycotts started to take hold. Certainly this was a better way to frame the argument rather than having to wade into the political arena.

The USA Today article listed the potential ramifications.  With the word “Boycott” in the title, this was certainly not an article that tourism officials in Arizona were pleased to read.

What’s happening in Arizona is closely being watched by several other states tourism officials where their own governments are reviewing similar action.

With appeals, the Arizona immigration law has yet to see many of the controversial elements take effect.  Recently a federal appeals court refused to lift a stay on many of these elements. It will be interesting to see how many event planning firms will be watching and what effect it will have on this year’s tourism in Arizona.

Are you in the initial stages of planning an event? If so, then you can probably benefit from a good event planning guide. But, as a simple Google search will show you, finding the right one for you may take a little bit of research. It doesn’t mean that there aren’t any good ones out there, you just have to take the time upfront to determine what your specific needs are. Doing this at the beginning just might end up saving you valuable time later on in the planning process.

As I wrote this piece, I did a Google search for “event planning guide”.  There were over 40 million returns for me to review. A lot of these links were to a specific company’s event planning guide. What I was looking for in my search was something that I could tailor to my unique planning needs. That took a bit longer to find. Before you determine which event planning guide will work best for you, you really need to have an understanding of what it is you want this guide to do. Basically, an event planning guide is designed for you to enter the details of your event and then develop a timeline of when you will need each of these details completed.

An example of a good event planning guide is Microsoft’s Event Planning Guide.  It’s a free PDF that you can download.

Develop a Checklist from Your Event Planning Guide

One of the first things a good event planning guide will do is help you develop a checklist for your event. When you begin your planning, jot down items that you know will be part of your planning. Items such as; attendees, venue selection, caterers, decor, entertainment, transportation, audio/visual would be examples of categories to be added to your checklist.  And of course if you need to attract attendees, you will also need to promote your event. Once you have your checklist, you need to assign the various areas to your team members. Assigning due dates is also a crucial part of the event planning guide.

An Event Planning Guide will Keep You Focused and on Schedule

Once you get the planning stages completed, make sure you review each of these items with your team. You want to be sure, up front, that everyone has a clear understanding of their assigned tasks. Now it’s just a matter of each team member addressing their items. Of course, regular follow up meetings are recommended.

As an example of a great way to keep the communications open, Microsoft has a web-based event management system that you can register with and use to execute your event(s). A web based event planning guide is great especially if you are not always in the same location as other members on your team.

With a little upfront planning on your part, a good event planning guide will help you look at the event in stages rather than a large daunting task.  By breaking down the various tasks involved, you’re able to know how things are moving along at different times. When planning a birthday party, there are so many fantastic, cost effective options available.

When considering birthday party ideas and party supplies, store bought invites have come a long way. They’re no longer the tacky relics from our childhood with a rainbow and puppy (not that there’s anything wrong with puppies or rainbows).  And many stationary and party discount stores have limited, or discontinued runs available at a great price.

If you’re more of a DIY’er, who shudders at the thought of store bought invitations, there are literally hundreds of web sites with free birthday party invitation templates. Create your own invites with just your computer and printer!

Personally, I’m a fan of the cheesy, homemade poem. “Because it’s his birthday, come and say to our friend, We hope it’s the best, may the fun never end!” A few original verses can go a long way to set the tone.

After all, it is her big day, and the more important task she has to do is to be happy and blush.

Special events are called special for a reason. They don’t happen everyday and you cannot just organize them on a  whim, unless of course, if you have the wherewithal to do so.

So, whether it is your big day to walk down the aisle, your dad’s 90th birthday, or your company’s convention, make it count by planning it thoroughly and covering all the bases.

To help you kick off the daunting endeavor of  planning and answer some of those how to plan a special event queries, let the responses to the following relevant questions guide you.

Getting These Questions Answered During Special Event Planning

1. What is the main purpose of the event? What do you want to accomplish from the event?

For special occasions event planning like birthdays and weddings, this is very easy to answer. However, for big corporate, association, or social affairs, you may need to do some serious asking and clarifying. To help you answer this question, list the key benefits that you intend your invitees and your organization to get. Also set evaluation criteria to measure the success of the event.

2. Who are your target guests?

With the purpose and objectives of the event clear in your mind, you would instantly know who you must invite. Determine the minimum and maximum number of guests you aim to accommodate. Plan on how to reach out and invite them; consider various promotional materials and approaches, like brochures and invitations, posters, online invites and registration, and so on.

3. How much is your budget? What available resources do you have?

You can approach this question in two ways. The first one is easy; your superiors may just give you a specific amount to work on. So your concern here is allocating this amount to the various expenses. In the second approach, you will need to ask for quotations from potential suppliers and work out the numbers, then present it to your bosses for their go-signal. Another related question to this is “Do you intend to generate revenue from the function, or will the company foot the entire bill?”

4. Who are your team members?

Resources needed when planning special events are not just limited to the finances. You will also need manpower so that you can delegate the various tasks. How many people are available to man the different committees and commit to the pre-event, on-site, and post-event tasks?

5. When is the event? How much time have you got?

Time is another resource. With the different committees formed to handle the various tasks, set a time frame that schedules the critical deadlines. The first ones you may have to ensure is reserving the venue early. Make sure that the date of your event does not conflict with holidays and special events in the area or other events for your target audience. Also factor in the weather at that particular season during the event.

6. Where will you hold the event?

Of course you cannot book the venue if you have not decided where to hold the event, so pick one first. When selecting a place to hold the affair, consider availability of amenities that you need, space, parking, etc. Do an ocular inspection and match your needs with what you see.

7. What must be included in the program?

Based on the flow of events detailed in the program, think of the things that you would be needing when the event takes place, from the ingress of guests, down to the inception of the main program, up to their departure, and perhaps, days or weeks after the event (as follow up). This is the perfect time to utilize a special events planning checklist. Some of the items you may require are lighting, sound system, audio-visual equipment, physical arrangement and seating plan, registration table or station, computers, Internet connection, free flowing coffee and tea, convention materials and registration kits (pens, note pads, name tags or place cards), etc.

8. Who are the suppliers whose services you will be needing?

Besides your special event planning team, you will need to hire service providers with their respective specializations.  This could include a set designer or florist, photographer, make-up artist, caterer, entertainers, security agency, transportation service provider, and many others.

9. Who is the event’s speaker or resource person?

If it is a convention, then you may need speakers or guests of honor. Confirm their attendance and find out what their needs are for the event.

10. What have I forgotten?

Every time you run out of special event planning jobs and questions during the event planning, always ask this question. You may be surprised with your answers.

Tips On How To Promote An Event

We’ve all attended events and wondered how did they get so many people to attend?  During my educational years, I had the privilege of taking a hospitality course by Disney. I remember being impressed by a single phrase that Walt Disney had coined – “you don’t build it for yourself, you find out what the people want and you build it for them”. That single phrase can be applied to so many aspects of one’s career. How to promote an event would certainly fall into that rule.

Of course the easiest way to promote any event would be to have the right budget and just buy up ad space in related markets.  But for most of us, the luxury of this type of budget doesn’t exist and you have to come up with creative ways to get the word out.  Well, luckily you don’t have to be a marketing executive to know how to promote an event.  In today’s digital age, there are many low cost, and even free, ways to get people to come out.

Find Out What The People Want

When people ask me how to promote an event, one of the first things I ask them is “how do you know that people will want to come out”.  If I start getting answers like “oh because I have this great new product that I know people will love” I realize that this event could be on a collision course from the get go.  Just because you think your product is the greatest and newest there is, doesn’t mean that everyone in your industry will agree.  Actually they may even feel like they being targeted for a sales pitch and will avoid the event altogether.

Recently, my company ran a series of networking events for the meeting and events industry.  Before I even began to think of how to promote an event, I needed to find out what people in this industry wanted to do and when. So I began by asking a few colleagues what they thought were key decision factors on events they attended. From those initial meeting, I had about ten questions.  I then took those question and narrowed them down to about four key ones.  Be respectful of people’s time.  Many will answer a couple of quick and easy question.  But if you start taking up too much of their valued time, you won’t get many replies.  Also, if you can, provide an incentive for people that actually do take the time to answer your questions.  A free white paper or a token gift, if you have the budget, is a nice gesture and tells people that you appreciate the effort on their part to help you. For my needs, I needed to get answers to those key questions from a broader audience.  I turned to the web and found that there are several free survey software sites that you can use to set up your survey.  Just a quick Google of free survey sites will give you a great place to start.  Then I sent an email to my data base with a link to the survey as well as posted the information on all of my social media sites.  This relatively easy exercise gave me the insight for what I needed to set up my successful events.  I was quite surprised by some of the answers I was getting.  For example, over 50% of the replies said that they preferred to have an event over the noon hour.  This allowed them to network without the event taking up too much of their free time. I’ll explain the use of surveys in more depth in a later post.

Using Social Media to Promote

Pretty much everyone we know has some type of social media presence.  Twitter, LinkedIn and Facebook are all very effective way to get your message out. But make sure that you have a social media presence that matches your professional life.  For example, if you use Facebook for your family and friends, chances are they won’t be interested in attending one of your work events.
